Privacy policy

Send & Save helps hospitality venues capture guest preferences on their own forms, then send email only to people who asked for it. This policy explains what we do with that information.
Who we are
Send & Save is a UK hospitality email product at sendandsave.com. It is operated by OFF THE RECORD BURNLEY LIMITED from the United Kingdom.

For guest lists collected on a venue form, the venue organisation decides why that data is collected (they are the controller). We hold and process it on their instructions so the product can work. For your Send & Save account, and for how this website runs, we are the controller.
What we collect
Organisation accounts
- Name, work email, and password (or our sign-in provider) when you register
- Organisation, venue, and team details you enter
- Security logs (sign-in, invites, data export or erasure)
Guests (on behalf of venues)
- Whatever the venue’s form asks for, typically name, email, and optional mobile
- Preferences and tags the guest chooses
- The consent wording they saw, when they agreed, and whether they are subscribed, unsubscribed, or blocked
- Whether an email was sent, delivered, opened, clicked, bounced, complained about, or unsubscribed
We do not buy, scrape, or rent contact lists. Venues must confirm that imported addresses already consented to marketing email.
Why we use it
- Consent: to send venue campaigns and automations to subscribed guests
- Contract: to run the organisation’s account
- Legitimate interests: to keep the service secure, stop abuse, and measure whether mail is delivered, in a way that does not override guest rights
Campaigns only go to subscribed contacts. Unsubscribed and blocked addresses are left out.
Who we share it with
We do not sell guest data. We use other companies only where we need them to run the product:
- Google Cloud: hosting, sign-in, and storing images
- Brevo: sending email, and telling us if a message bounced or was marked as spam
- Amazon: other infrastructure where still in use (for example legacy email setups)
Venues can optionally ask for feedback on campaign copy after a send. That review looks at the wording and overall delivery figures only, never names, emails, or other contact records.
How long we keep it
Organisation accounts stay until the organisation is closed. Guest records follow the organisation’s retention setting (venues can set this). Unsubscribes and blocks are kept so we do not email that person again. We keep a record of export and erasure requests so we can show we handled them.
International transfers
The product runs in Europe (London). Email is also sent from London. Some sign-in or support tools may process limited account data outside the UK; we use appropriate safeguards where that happens.
Your rights
You can ask to access, correct, export, or erase personal data, or to object to or restrict certain processing. Guests can unsubscribe from any email, manage preferences from the link in the footer, or use the removal link on the unsubscribe page.

Cookies
We use cookies for sign-in and security. On public forms and event pages, the browsing session also connects recorded entry points, campaign links and page visits with form responses and ticket purchases. We do not use advertising cookies. See the cookie policy.

We will update this page when our practices change and revise the date above. Material changes will be reflected here before they take effect for new collection.
